Privacy Policy

WordOfBot is a product of NovelLogic Ventures Inc. ("NovelLogic", "we", "us"), based in Victoria, British Columbia. We measure how often businesses are named or cited in AI assistant answers. This policy explains what information we collect, what we do with it, and the choices you have. We've written it in plain language because that's how we write everything.
What we collect
Correspondence. If you email us (for example to request a free AI visibility audit), we keep your name, email address, and the contents of the correspondence so we can respond and follow up.
Audit and client information. To run a measurement for a business we work with its business name, website domain, service area, and trade category. For paying clients we also collect billing information, which is processed by our payment provider — we do not store card numbers ourselves.
Basic server logs. Our hosting provider records standard access logs (IP address, page requested, timestamp, browser type) when you visit this site or open a scorecard link. We use these only to operate the service and understand whether pages were reached.
What we don't collect: this website does not use advertising trackers or tracking pixels, and our outreach emails contain no open-tracking beacons or tracking pixels.
What we measure, and where it comes from
Our measurement data is about businesses, not individuals. We ask AI engines (such as ChatGPT, Claude, Gemini, and Perplexity) buyer-intent questions and record which businesses are named or cited in the answers, alongside publicly available business information — websites, published contact details, and public directory listings. We do not collect personal information about a business's customers or staff, and we do not scrape private or login-protected sources.
Scorecards
If we've prepared an AI visibility scorecard for your business, it lives at a private, unguessable link that is excluded from search engine indexing, is not listed anywhere on our site, and is shared only with you. If you'd like your scorecard taken down, email us and we'll remove it.
Email and your choices
When we contact a business — by email or through its published contact form — it's because contact information was published publicly, the message relates to that business's commercial activity, and the business hasn't indicated it doesn't wish to receive unsolicited messages, consistent with Canada's Anti-Spam Legislation (CASL). Every email we send identifies us and includes a working way to opt out — reply "stop" and we won't contact you again. Opt-outs are honoured promptly and recorded so they stick.

We do not sell personal information, and we do not share it with third parties for their own marketing.
Service providers
We use a small number of service providers to operate: website and scorecard hosting, email (Microsoft 365), and payment processing (for clients). These providers process data on our behalf under their own security and privacy commitments. Some may store data outside Canada (for example, in the United States), where it is subject to local law.
Safeguards
Access to correspondence, client records, and measurement data is limited to what each task requires, and scorecard links are tokenized and unlisted. No system is perfectly secure, but we protect what we hold and don't hold what we don't need.
Retention
We keep correspondence and client records for as long as needed to provide the service and meet legal and accounting obligations. Measurement data about businesses is retained as part of our panel dataset, since month-over-month comparability is the product. Opt-out records are kept indefinitely — that's how we make sure an opt-out is permanent.
Your rights
Under Canadian privacy law (PIPEDA and BC's PIPA), you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where we're not required to keep it. Email us and we'll respond within 30 days. If you're not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Changes
If this policy changes, we'll update this page and the date at the top. We won't quietly weaken it.
